314 Volleyball Club (“314 VBC,” “we,” or “us”) provides a private mobile app and related web services for approved club members, families, coaches, and volunteers. This policy describes the information those services use and the choices available to you.
Information we use
- Account information: email address, name, phone number, password hash, account type and status, team assignments, and approved family/player relationships. We check the prospective account holder’s date of birth for age eligibility during signup but do not keep it in the account.
- Team chat: Messages and files shared with approved team members, including images and documents. Club administrators may access content to administer and protect the service.
- Match information: schedules, rosters, scores, statistics, lineups, corrections, bookmarks, clip requests, and the identity of authorized people making changes.
- Video and audio: camera video and microphone audio when an authorized person deliberately starts a match broadcast. Recordings may include athletes, coaches, officials, spectators, and venues.
- Device and service information: session identifiers, push-notification tokens and preferences, security/audit records, and limited technical logs needed to operate and protect the service.
SportsEngine registration and other club forms
Parents or guardians complete tryout, clinic, open gym and club registration through SportsEngine. SportsEngine collects the information shown on its forms, which may include athlete and family details and payment information. Review its notice and terms before submitting. The club receives registration information needed to run its programs. Our older clinic, open gym and camp form is retired; historical submissions may remain in club Google services until reviewed or deleted. Contact and store requests may be sent through club email or Google services. The store accepts offline payment and does not collect card details on this site.
How we use information
We use this information only to operate club accounts; approve and protect private team access; provide schedules, scoring, statistics, notifications, live streams, recordings, and requested clips; investigate security or reliability problems; and comply with applicable obligations. We do not sell personal information or use it for third-party advertising or cross-app tracking.
Who receives information
Information is available only to approved users according to their team and role. We may use service providers for SportsEngine registration, Google forms and email, hosting, email delivery, Apple push notifications, live-video transport, and private video storage/delivery. Those providers process information to deliver their services to us. We may also disclose information when required by law or necessary to protect participants and the service.
Retention and deletion
Account, access, and match records are kept while needed for the club service, security, recordkeeping, or legal obligations. Under the club’s standing recording notice, a private match recording starts automatically when an authorized club camera goes live; authorized staff can also start or remove one. Recordings are kept for 30 days by default, and staff may choose a 7–180 day retention period. Removal blocks replay and clip access, deletes the stored video and clip files, and verifies removal from the club storage service. Operational backups may persist for a limited recovery period.
You can delete your account from My account in the app or website. Confirm with your current password. Deletion signs out every device, removes your account details, team access and private chat content, and retains anonymized match and security records when needed. Backup copies may remain until rotated under recovery procedures. Removing an account cannot remove a person from footage recorded at a club event; contact us about specific footage so the club can review it.
You may also request access or correction by contacting us. A parent or guardian may request review or deletion of footage involving their child. The club verifies the request and decides how to handle footage that includes other participants or records it must retain.
Youth and family privacy
The app supports a youth sports club, but private access is approved and managed by the club. Parents and guardians complete athlete registration through SportsEngine. A child under 13 should not create an app account; a parent or guardian should contact us for a family access path. Parents and guardians may ask about information associated with their child or request its review or deletion. The club must provide recording notice and obtain appropriate permission before it streams or records events; club match broadcasts are recorded privately by default under that notice. Recorded player stats can automatically produce highlights labeled with the player’s first name and last initial. Parents and family members may view and download a player’s highlights only after the club approves their connection to that player; club administrators and approved coaches have review access. Families may use downloaded clips to assemble a personal player reel. The service does not provide a public sharing control; redistribution of youth footage requires club approval. Downloaded copies are outside the service’s retention and deletion controls.
Security and your choices
We use account approval, scoped team permissions, expiring sessions and media links, encrypted network connections, access logs, and service-side controls. No system can guarantee absolute security. Keep your credentials private, use individual accounts, and promptly report unexpected access. You may disable notifications in the app or in iOS Settings.
Third-party content
Our site offers links to SportsEngine, social networks and directions. Maps and social embeds connect to Google or Meta only if you choose to load them. Fonts and waiver PDF tools are hosted by the club. We do not currently use advertising pixels, session replay or analytics on this site.
Changes to this policy
We may update this policy as the app or its providers change. The effective date above will change when we publish a revision. Material changes affecting club families should also be communicated through an appropriate club channel.
Terms of service
Use of club accounts is also governed by our terms of service, including the club’s match video policy and the public website and social media opt-out.
